Privacy Notice
Draft for legal review. This notice describes the intended website and subscription flow. It must be updated to name the final hosting, payment, email, analytics, and cloud providers before public launch.
1. Who controls the information
Kyle Ankle and 12 Tribes Advisory Limited are responsible for personal information collected through this website, Sirach2 sales and licensing, and related advisory communications.
2. Information we may collect
- Contact details such as name, work email, telephone number, organisation, address, and country.
- Subscription details such as selected plan, billing term, estimated users/devices, implementation requirements, and acceptance records.
- Licence and device information such as customer/licence ID, plan, authorised device identifier and label, platform, activation time, last licence refresh, and device revocation status.
- Support, onboarding, sales, billing-reference, and correspondence records.
- Technical security logs reasonably required to protect the website, licensing service, and customer accounts.
3. Payment information
Live payments will be completed on an approved payment provider’s secure checkout. We do not intend to collect or store full card numbers, card security codes, or payment-provider passwords. We may store provider customer, subscription, invoice, payment-status, refund, and dispute references needed to administer the subscription.
4. Why we use information
- To respond to enquiries and prepare proposals.
- To validate, supply, renew, suspend, cancel, or transfer Sirach2 subscriptions and device licences.
- To provide implementation, support, updates, security notices, and billing communications.
- To maintain accounting, tax, legal, fraud-prevention, and audit records.
- To protect the rights, systems, customers, and intellectual property of the parties.
5. Service providers and international processing
Information may be processed by contracted hosting, form-handling, email, payment, database, backup, security, and support providers. Some providers may process information outside Jamaica or the Customer’s country. Appropriate provider terms and security measures must be confirmed before launch.
6. Website forms and fonts
The preview subscription request is designed for Netlify Forms. The site currently loads Google Fonts, which may cause the visitor’s browser to contact Google. Analytics and advertising cookies are not included in this preview. If they are introduced, this notice and any consent controls must be updated first.
7. Retention
Information will be retained only as long as reasonably required for the enquiry, contract, licence administration, support, security, dispute, and applicable accounting or legal obligations. Licence and audit records may be retained after cancellation where necessary to demonstrate authorised use and protect customer or owner rights.
8. Security
We use reasonable administrative and technical safeguards. Payment secrets, publisher licensing credentials, database passwords, and the Sirach2 private signing key must remain in protected server-side storage and are never placed in public website code or customer software.
9. Your choices and rights
Depending on applicable law, individuals may request access, correction, deletion, restriction, objection, or a copy of personal information. Some information may need to be retained for legal, contractual, security, or audit reasons. Marketing messages will include a way to opt out where required.
10. Customer business data
A Sirach2 customer owns the business data it enters. The desktop application is local-first. Cloud processing occurs only where the Customer enables and contracts for a cloud service or integration. The Customer is responsible for lawful collection, access permissions, and employee/customer notices within its own organisation.
